Terms of Service
Last updated: October 18, 2026
IrisBooks is a free, invitation-only service that makes entering, organizing, and viewing bookkeeping records more convenient. You must maintain records and processes independent of this service to meet your legal obligations.
Its book formats and interfaces are designed to be easy to use for both people and the AI tools they use.
1. Scope and agreement
These Terms govern use of the web application, cloud synchronization, and related services (the “Service”) provided by the operator of IrisBooks (the “Operator”). Read and agree to these Terms before using the Service. Where distributed software has a separate license, that license also governs use of that software.
2. Free, invitation-only service
The Service is invitation-only and free to use. You are responsible for the costs of your chosen AI services, internet access, and devices.
Bugs, incorrect displays or calculations, synchronization failures, and data loss may occur. The Operator does not guarantee particular features, continued operation, availability, support responses, or recovery times.
Support, discussion among users, and Service announcements are primarily community-based through the Discord community. You can ask questions and report bugs there. Responses from the Operator or other members, individual assistance, and response times are not guaranteed.
3. Your responsibility for compliance
Use the Service as an aid to make bookkeeping more convenient. It does not provide professional tax, accounting, or legal advice. Calculations, suggested entries, reports, histories, closing functions, and other outputs are not guaranteed to be accurate, complete, or compliant with any particular law.
Regardless of your use of the Service, you are responsible for:
- Identifying applicable requirements, including Japan’s Electronic Books Preservation Act, the requirements for qualified electronic books (優良電子帳簿), and electronic transaction record retention, and meeting them through independent storage arrangements and procedures.
- Independently retaining necessary books, supporting documents, transaction data, correction and deletion histories, and other records, and keeping them readable and available for the required period.
- Checking entries, calculations, and AI outputs; filing returns and paying taxes on time; and consulting a tax accountant or other professional when needed.
Do not assume that the presence of history or storage features establishes legal compliance.
4. Data and access management
Rights in your books and uploaded data remain with you or their rightful owners. You must have the authority needed to store, share, and process that data. The Operator handles data as necessary to provide and maintain the Service. The Privacy Policy describes the handling of personal information.
You are responsible for login credentials, access tokens, devices, sharing recipients, and their permissions. Review the access you grant to third-party AI tools and integrations, and revoke it when no longer needed.
Maintain backups independent of the Service and check that you can restore them. Cloud synchronization, histories, and closing functions do not replace independent backups. Download and preserve necessary data before ending your use of the Service or deleting a book.
5. Prohibited conduct
You must not violate laws or third-party rights, gain unauthorized access, impersonate others, send malicious files, place excessive load on the Service, or interfere with other users.
6. External services and AI
AI-assisted bookkeeping is intended to work with an AI tool you choose and arrange yourself, including any account or subscription it requires. The Service currently does not use AI for its internal entry creation or bookkeeping processing. You can also use IrisBooks directly without AI.
Your chosen AI tools, integrations, and other external services have their own terms and privacy policies. Review what data and access you give them. The Operator does not guarantee external services or AI outputs.
7. Changes, suspension, and termination
The Operator may change features or suspend or end all or part of the Service for development, maintenance, outages, security, or other operational reasons. Access may be restricted for violations of these Terms or misuse.
For planned termination or changes that materially affect users, the Operator will endeavor to give advance notice through the website, Discord community, or email. Advance notice may not be possible in an emergency.
8. Warranties and liability
The Service is provided as is. The Operator does not guarantee fitness for your purposes, legal compliance, accuracy, completeness or retention of data, or uninterrupted operation.
Where Japan’s Consumer Contract Act does not apply, the Operator is not liable for damages arising from use of, or inability to use, the Service due to the Operator’s ordinary negligence, whether claimed in contract, tort, or otherwise.
Where the Consumer Contract Act applies, the exclusion above does not apply. In that case, liability for ordinary negligence is limited to actual, ordinary, direct damages and excludes lost profits and damages arising from special circumstances.
The exclusions and limitations in this section do not apply to damages caused by intentional misconduct or gross negligence of the Operator, its representatives, or its personnel. They also do not exclude or limit liability that cannot be excluded or limited by law.
9. Changes to these Terms and governing law
Changes and their effective date will be announced through the website or other appropriate channels, with any procedures required by law. These Terms are governed by Japanese law. If the Japanese and English versions differ, the Japanese version controls.
